If your flight is departing from an airport in the Republic of Ireland, Northern Ireland or Great Britain, your holiday is licenced by the Commission for Avation Regulation, Ireland under TA Licence No. 0532. This means that when you book a holiday with us you can be entirely confident that in the unlikely event of our insolvency before or during your holiday, any money you have paid to us is fully secured, and if you are overseas, that full arrangements will be made to repatriate you at the end of your holiday

Topflight for Schools will always work within the guidelines laid down by the Irish Department of Foreign Affairs, regarding travel within Europe and worldwide.

Free place ratio

On our Educational Trips, the ratio is one free adult place for every 8 full paying persons.
We can at a school’s request increase the free place ratio and adjust the cost accordingly.

Change in numbers

When a group leader receives a request for an additional place, it is very important to check with us first before confirming, as we will need to check availability with airlines, suppliers etc. If a participant cancels their place on the trip, we will where possible, facilitate substitution.

Prepaid Tickets

In general, once tickets have been purchased for football matches, theatre tickets, concert tickets entrance tickets to museums, art galleries etc, they are not refundable.

Cancellation charges

All deposits paid are non refundable, but we are happy to facilitate transfer to a replacement traveller. Please be aware that airline seats have generally been paid for by us at the time of booking and a name change fee is payable to the airline involved, in this case.

Cancellation Fee Timeline

More than 10 weeks before the departure date, deposits shall be forfeited,
10 – 8 weeks prior to departure 75% of the cost of the holiday is forfeited.
Within 8 weeks of departure 100% of the cost of the holiday is forfeited.
All cancellation charges apply to each person covered by a booking.
Any insurance premium payable is not refundable.

API (Advanced Passenger Information)

It is a compulsory requirement for any passengers intending to travel to Spain and the USA to provide Advanced Passenger Information which includes date of birth, gender, passport number, expiry date, issue place of passport and nationality.

ESTA (Electronic System for Travel Authorisation) for Travellers to the USA

Since January 2009 it has been compulsory for all Irish citizens to obtain approval through the Visa Waiver Programme (VWP) enforced by the U.S Department of Homeland Security.
All passengers should apply for authorisation and pay the applicable fee by visiting
Please note that all passengers must have biometric (machine readable) passport to gain entry into the USA.

Passports & Visas

Please ensure that all travellers have passports with a validity of 3 months and preferably 6 months. If less than 3 months, please contact the Embassy of your destination country to ensure that travel will be allowed. Members of your travelling party who are not Irish or UK citizens may need a Visa to travel to their chosen destination. It is also important that travellers not from Ireland or the UK, may require a visa if departing from Northern Ireland as they will be transiting via Belfast and UK laws will apply.The obtaining of the relevant visa is the sole responsibility of the person involved. Names submitted to Topflight for Schools must be exactly as per passport.

European Health Insurance Card

The EHIC which replaced the E111 form, allows European citizens to access health care while abroad, in a country which participates the this reciprocal scheme. Please see for further information


All coach, air and sea transportation provided as part of a tour, complies with required regulations by the appropriate regulatory body.


Topflight for Schools automatically includes fully comprehensive travel insurance in the tour cost for all student groups. Our insurers are WORLDWIDE INSURANCE. The insurance covers in certain circumstances, loss or theft of money or personal belongings, departure delays etc. subject to policy terms & conditions. Most importantly, it covers any medical expenses incurred during your tour (excluding policy excess) when treatment is provided at a public hospital. Private hospitals will incur a further charge.
